Community Messages
Dear Students,
We hope you enjoyed a restful Thanksgiving break, and are looking forward to the end of the semester. This message is a follow-up to our previous messages about fall closing, which takes place at 12pm ET on Friday, December 22, 2023. As our records indicate that you will not live on campus in Spring 2024, you are responsible for checking out of your room and returning your key upon your departure from campus.
Please log on to the Online Housing Portal and sign up for a check-out time via the Fall 2023 Check Out Times form available in the Forms process. Failure to complete this step may result in an improper check-out fee and/or extended housing charges.
Depending on your planned date and time of departure, you will use the Fall 2023 Check Out Times form to sign up for a Staff Room Inspection OR an Express Check-Out. You do not need to sign up for both. The times for each process are listed in the form.
-
Staff Room Inspections must be scheduled at least 72 hours in advance. During the inspection, our staff will meet you at your room to retrieve your key and verify the condition of your room against your Room Condition Report from the beginning of the year and check you out of the space.
-
Express Check-Outs must be scheduled at least 24 hours in advance. During the express check-out you will vacate your room, return your key at the Residential Life Key Office on the 3rd floor of Graduate Center E (42 Charlesfield Street, Providence, RI 02906), complete the Express Self Check-Out form, and show your check-out confirmation email to our staff.
There is a charge for failure to return keys by published deadlines. Lock changes resulting from missing keys will be performed as soon as possible after termination of occupancy, typically within seven days. All keys must be returned immediately upon termination of occupancy. Any duplication of keys is prohibited. If you illegally duplicate keys you will be billed for a lock change and referred to the Office of Student Conduct and Community Standards.
If you need to request a brief housing extension, you must complete the Winter Break Housing Form by the priority deadline of December 7, 2023 at 11:59pm ET.
Before You Leave:
-
Take all items with you. Residential Life does not offer storage options or hold student items.
-
Close and lock all your windows. If any windows or locks are broken, please call Facilities Management at 401-863-7800. (If your windows have screens and storm panes, please raise the screen and lower the storm window and then lock the main window).
-
Properly dispose of all trash and open food from your room and refrigerator. Use designated trash rooms. Trash and food may not be left in the hallway. Do not throw away food trash in restroom trash cans. Custodial services will be curtailed during the December portion of winter break, meaning trash left in dorm rooms or restrooms may not be removed until full staffing returns in January.
-
Lock all doors and shut off lights.
-
Turn thermostat (if applicable) to a 50 degree setting.
-
If you have had any restricted items confiscated by the Office of Residential Life or Environmental Health and Safety during the Health and Safety Inspection process, you are responsible for retrieving these items prior to your departure for the winter break. To make arrangements for pick up, please email reslife_facilities@brown.edu. All unclaimed items will be discarded on Friday, December 22, 2023 at 5pm ET.
-
Please review the damage billing information and ensure you vacate your room in good condition to avoid being charged.
Sincerely,
Amanda Surgens
