Overview

The Mid-Year Housing Form is how students returning from a Fall semester abroad, away, or on leave provide their Spring housing plans to the Office of Residential Life.

Eligibility

The Office of Residential Life will email details about the form to students who took a leave of absence during the Fall semester and have been approved to return for the Spring semester by the time the form goes live, as well as students who took part in a study abroad or away program for the Fall semester.

Outside of those criteria, off-campus students wishing to transition to on-campus housing for the Spring semester may access the form via the housing portal while it is active.

Timeline

The Mid-Year Housing Process typically opens in mid-October and closes in early November.

For the 2024 - 2025 Academic Year, the form will be available from October 15 to November 6. 

Students who miss this deadline may contact the Office of Residential Life at res_life@brown.edu for late access to the form.

Mid-Year Vacancy Fill Process

About the Process

The Mid-Year Vacancy Fill Process is completed by a student with a Spring 2024 housing assignment who may have a vacancy in their multi-occupancy room or suite.  Only one student from a suite/room would need to complete the form. We verify with all parties that the request is mutual.

Students who are living on campus for the Spring semester may access this form through the Housing Portal.

  • Only students who are active and eligible for housing may be pulled into a space.
  • First Year students may not be pulled into Upper Division housing and Upper Division students may not be pulled into First Year housing.
  • Students may not request to fill a vacancy in a stand alone single room; there must be a remaining member of the original housing group assigned to the space to pull the student in (i.e. a single room) during the Spring semester.  
  • Graduate Center is selected during Housing Selection as single occupancy rooms and cannot be requested as a vacancy to be filled.
  • All requests must be mutual from all members currently assigned to the space.
  • Only one student from a suite/apartment needs to complete this form - we will verify with all assigned students and the students listed that the request is mutual.
  • Students cannot request to move into a Greek or Program House allotment - those requests must come directly from House Leadership.
  • Assignments within the Theme communities also may not be available as students are required to apply to live in those communities. If there are still students on the waitlist for those communities they will receive first priority for any available spaces.

Timeline

Mid-Year Vacancy Fill Process opens on November 11, 2024 and is available for students to submit requests via the form until December 2, 2024 at Noon.

How Moves Happen

Students not currently residing on campus will move into their new space after confirming with all parties involved in January during Spring Semester opening.

Students with a Fall Housing assignment that accepts a vacancy fill request will be required to move out of their Fall assignment at the end of the Fall semester and will move into their new assignment for Spring in January during Spring Semester opening.

Residential Life does not offer storage options - students must fully vacate their assignment and return their keys at the end of the Fall Semester. Students may either:

  • Bring items home with them.
  • Store items with a company.
  • Have a friend hold onto their belongings in a separate space.

Due to the need to prepare spaces for a Spring occupant exceptions to this cannot be considered.

Housing Accommodations

Student Accessibility Services has indicated the priority deadline for submitting a request for Disability Related Housing Accommodations for the Spring 2025 semester is 11:59 PM on December 1, 2024.
