[Important] End of Semester Departure Planning (Non-Graduating)

Dear Students,

 

We hope that you are doing well and enjoying your spring break. As we reach the mid-point in the semester, we wanted to provide you with an update regarding spring closing and departure procedures. 

 

In support of Commencement and Reunion Weekend, and in collaboration with Facilities Management, our office has a very short turnover period to prepare the residence halls for the arrival of Commencement and Reunion guests. While no action is required at this time, we ask that you thoroughly review this message, begin thinking about your end of semester plans, and use this information to make your plans for the end of the semester.

  

Residence Hall Closure

 

Residence halls close at 12:00pm ET on Saturday, May 18 for non-graduating students. As our records indicate you are not a graduating senior, you are required to fully vacate your room and return keys within 24 hours of your last final and no later than 12:00pm ET on Saturday, May 18, whichever comes first. Your swipe access to the residence halls will be turned off at noon unless you are granted extended housing permission by our office. You will receive more detailed closing information on April 3. Planning for Campus Departure

 

Beginning April 3, we will ask you to provide our office with your departure date by completing the Spring 2024 Departure Form. We will email you the link to this form when it goes live.

 

If your departure date is on or before May 18 at 12pm, you will also sign up for a Key Drop Time through the same form. We will have satellite key drop locations available around campus for you to deposit your key(s) when you depart. Failure to check-out of your room or return your key will result in charges to your student account.

 

If your departure date is beyond May 18 at 12pm you will be directed to the Extended Housing Request Form to provide more information about your request. The approval of extended housing requests is not guaranteed. 

 

Housing during the extended housing period costs $45 per day. Sponsoring departments are responsible for payment and if you are without a sponsor, you are responsible for payment. If you are sponsored and you are approved to depart outside the date(s) noted by your sponsor, you are responsible for all housing charges for the non-sponsored days at a rate of $45 per day.

 

During Commencement & Reunion Weekend, many residence halls will be converted to hotel-style housing for Commencement and Reunion Guests. For this reason, students who receive extended housing will relocate into designated extended housing buildings if they currently live in a Commencement & Reunion building. 

Due to exciting renovations happening this summer, Grad Center A will be completely offline during the extended housing period. Grad Center A residents who are approved for extended housing will relocate to another building beginning May 18.

Summer Housing:  

Our office provides an opportunity for students to request summer lodging if they intend to be on-campus for employment, research, Summer Session courses, or in cases of housing insecurity outside Brown.   

Summer housing is available from Sunday, June 16, 2024 to Saturday, August 3, 2024, at a rate of $315 per week ($45 per day). The Summer Housing form will go live on April 3. Current on-campus residents may also request extended housing between the Spring semester and the beginning of the summer housing period (called bridge housing). The bridge housing fee is $45 per day.

Domestic Students who are unable to return home over Summer break due to safety concerns and need financial assistance with on-campus housing and/or meals, need to schedule a financial advising appointment with the College here.  You will need to schedule a financial advising appointment by Wednesday, May 1st to be considered for Summer support. Please keep in mind that financial assistance is not guaranteed, and you must also be separately approved to stay on campus by the Office of Residential Life. Questions regarding EGAP Summer housing and meal support should be directed to financial_advising@brown.edu.

International students studying on an F-1 visa  in need of financial assistance for on-campus housing and/or meals during the summer session should complete this form by May 5th.  You do not need to schedule a meeting with a member of the Financial Advising team by May 1st. Please only fill out this form once when you have confirmed your summer plans and are sure you’ll be in need of financial support for housing and/or meals. Financial assistance is prioritized for students with emergent or unexpected situations in conjunction with their financial need, as determined by the Office of Financial Aid. Please note that completion of this form does not guarantee approval for financial assistance and you must also be separately approved to stay on campus by the Office of Residential Life to be eligible for financial assistance. Fall 2024 Arrival Information:

 

The residence halls reopen for returning students on Saturday, August 31, 2024. More information about early and standard arrival will be provided  in July.
