Mid-Year Vacancy Fill Request Process

Community Messages

Dear Students,

As we approach the end of the semester and begin to transition into Spring 2024 we will begin processing mid-year housing requests.  One part of this process includes Mid-Year Vacancy Fill Requests where students living in either multi-occupancy rooms or suites can pull in other eligible students to fill vacancies that will occur between semesters.

While we will be emailing known vacancies in the coming days, we encourage you to connect with your roommates and suitemates to see if any have plans they have not shared with you yet.  If you do have an expected vacancy, and you know a student you would like to request to fill it please submit the Mid-Year Vacancy Fill Request form on the Housing Portal by 12pm ET (Noon) on Tuesday, December 5, 2023.  After that date late requests may not be able to be honored as other assignments will begin to be completed and communicated to students.

This form is located on the top menu bar of the Housing Portal or if it is not listed there it can be accessed by clicking the 3 horizontal lines at the top left of the page to expand the dropdown menu.

Please note the following for students filling a vacancy:

A student currently living in housing for Fall 2023 who is changing rooms for Spring 2024 will need to fully move out of their Fall 2023 assignment and return their keys so that we can prepare the space for any incoming student.

Below are some options for students to consider on how to manage personal belongings between semesters:

  • Students can return home with all of their items and return to campus in Spring 2024 to the new space - you will receive instructions in January related to move-in and key pickup logistics.
  • Students can store their items with a Storage business external to Brown University (Brown University does not offer storage).
  • Students can coordinate with friends around campus to store items with them and assume responsibility for those items and their return to you.

Kind regards,

Amanda Surgens
