Residential Life Policy: Damage Billing

Within two days of moving into your room, you should submit a detailed and accurate record of the status of your room to the Office of Residential Life, using the Room Condition Report.

Make certain to report anything you find in your room that is damaged, broken or doesn't work so that it may be inspected and repaired - and so that you are not charged for damage that already existed when you moved into the room.

Tips to Avoid Being Billed

  1. Do not use nails, anchors or double backed tape on ceilings, walls or doors. The use of adhesive which alters the existing integrity of the surfaces to which it is applied will result in charges for room repair and repainting. Use "Fun Tac," or another brand of squishy gum-like stuff - not tape, double-sided tape, tacks or nails - to hang stuff on the painted walls and doors of your room. The advantage of Fun Tac is that it comes off the wall without damaging the paint, whereas screws and double-stick foam tape are likely to pull paint when removed (and thus incur a residence hall damage charge for repair).
  2. If your residence hall has "picture moldings" at the top of the walls, use molding hooks and picture wire to hang your pictures, bulletin board, mirror, etc. from the moldings rather than attaching them to the walls. It is also a good idea to put rubber picture bumpers on the back of the bulletin board, mirror, etc. so that you don't scratch the wall every time it moves. Picture wire for the molding hooks can be purchased at the Brown Bookstore or other local stores. Molding hooks are available during arrival at key distribution points and in the Office Residential Life Office throughout the year.
  3. Remember that you are responsible for the exterior and interior appearance of your room door. Do not write on, paint, or otherwise deface the exterior of your room door. Discourage your friends from doing so.

The charge schedule below is provided as a reminder that, in the event of damage, missing furniture or excessive trash, Residential Life incurs specific costs to ready residence hall rooms for the next occupant. Our goal in sharing this information is to encourage all residents to take care of their rooms, and to vacate rooms in good condition, to avoid being charged.

Room Inspection Information

The Office of Residential Life maintains records concerning the status and condition of each room and its inventory. These records, along with end-of-occupancy inspections, provide the necessary information when billing students for damages.

All students are held accountable for the condition of their rooms, the exterior of their door, exterior room signage, and the corridor walls adjacent. It is imperative that you complete the Room Condition Report.

You will be held accountable at the end of the year for all of the deficiencies not noted on this form. Please take the time to make a detailed record of the status of your room and furnishings. Feel free to attach additional information if necessary.
